Is Your Business Ready for VoIP? A Practical Checklist

A successful move to VoIP starts before the new phones arrive. Work through the checks below to make your requirements clear, compare proposals properly and reduce surprises during the changeover.

1. Count calls as well as people

Ten staff members do not necessarily need ten simultaneous external calls. Record the busiest calling periods, how reception handles a second caller and whether any teams make a large number of outbound calls. This gives the provider a more useful starting point than a handset count alone.

2. Write down the call flow

List who should answer first, where unanswered calls go and what happens outside business hours. Keep menus easy to follow. Include holidays, staff absences and the escalation route for callers who cannot reach the right person.

3. Check voice quality under normal office load

Test while staff are using the internet, not only before the office opens. Voice is sensitive to delayed or missing data packets and variation in delivery time, known as jitter. Cisco’s voice troubleshooting guidance identifies these as important causes of broken or choppy audio.

An assessment should consider the connection and the local network. Traffic prioritisation can help when correctly implemented, but it does not replace sufficient capacity or repair a faulty connection.

4. Trace the power path

Identify the equipment that each phone depends on: the handset or its PoE switch, router, internet termination device and any on-site PBX. A backup-power plan needs to consider the whole path and the runtime you require.

5. Confirm the number and migration plan

Check the account holder, existing contract, number-transfer requirements and who will coordinate the provider. Do not cancel the current service before the migration has been confirmed. Agree the change window, the test calls and what will happen if the transfer is delayed.

6. Choose devices for their users

Reception staff may need a different phone or headset from an occasional caller. Remote staff may prefer an application, provided it is supported and their connection is suitable. Check compatibility before assuming existing handsets can be reused.

7. Make the handover practical

Build automation on a working foundation

If an AI receptionist is part of your longer-term plan, define its role separately. Which questions may it answer? When must it transfer to a person? What should happen if it cannot understand a caller? Start with a limited, testable workflow and check platform integration, data handling and operating costs before expanding.
