Why proactive maintenance matters

A System Can Look Operational While Critical Problems Go Unnoticed

Security and ICT failures are often discovered only when footage is needed, a door stops operating or connectivity begins affecting the business.

Cameras offline

Individual cameras may stop recording while the overall system still appears online.

Recording gaps

Hard-drive faults, incorrect schedules or storage limitations can leave missing footage.

Unreliable access

Readers, locks, relays and controllers can deteriorate until a critical door fails.

Failed backup batteries

Ageing batteries may only reveal themselves during a power interruption.

Unlabelled infrastructure

Poor records and cable labelling make every future fault slower and more expensive.

Uncontrolled users

Old user accounts, shared credentials and unknown permissions create avoidable risk.

No system records

Clients often do not know equipment models, warranty status or previous repairs.

No upgrade plan

Expansion becomes rushed and expensive when capacity and lifecycle are never reviewed.

The best place to start

Start With a Baseline System Health Assessment

Before recommending an ongoing plan, Zapture assesses the current condition of the covered systems and identifies existing faults, operational risks and documentation gaps.

01

Site and system review

Confirm the infrastructure, operational priorities, site conditions and systems requiring coverage.

02

Equipment inspection

Inspect relevant cameras, recorders, controllers, locks, power supplies, cabinets, switches and connected equipment.

03

Testing and verification

Verify functions such as recording, image quality, door operation, battery backup, remote access and network connectivity.

04

Findings and recommendation

Receive prioritised findings and a maintenance scope tailored to your sites, systems and operating risk.

No automatic contract commitment: the assessment helps establish the condition and appropriate next step. Larger or complex assessments may be chargeable and can be credited toward an accepted maintenance plan where agreed.

More than a service visit

Useful Records, Clear Priorities and Better Technical Continuity

Every scheduled visit should leave the client with information that supports decisions—not simply a verbal statement that the system was checked.

System asset register

Relevant equipment recorded by site, including type, model, location and condition where available.

Structured inspection checklist

A consistent inspection process appropriate to the systems and assets included in the agreement.

Written service report

Systems inspected, findings, work completed, outstanding risks, recommendations and photographs.

Fault and repair history

A central record of reported faults, previous repairs, recurring issues and replaced components.

Maintenance calendar

Planned service dates and renewal milestones so preventative work does not disappear behind urgent tasks.

Lifecycle recommendations

Clear visibility of ageing assets, expansion constraints and equipment likely to require future budgeting.

How System Assurance works

From Reactive Faults to a Managed Maintenance Cycle

01

Assess

Review the current systems, risks, equipment and operational requirements.

02

Stabilise

Identify existing faults and quote corrective work separately where required.

03

Maintain

Complete scheduled inspections in line with the agreed service scope.

04

Report & improve

Document findings, track recurring issues and plan future improvements.

Tailored service levels

Choose the Level of Assurance Your Site Requires

The final scope and pricing are tailored to the number of sites, covered assets, inspection frequency, response requirements and included support.

Essential Care

For smaller commercial sites needing scheduled checks and reliable records.

Tailored quotationBased on site scope and visit frequency
  • Annual or biannual planned inspections
  • Standard inspection checklist
  • Written service report
  • Asset-register updates
  • Repair and upgrade recommendations
  • Standard support response

Critical Site Assurance

For multi-site and operational environments where failure presents substantial risk.

Tailored quotationDesigned around criticality and response needs
  • Higher-frequency planned inspections
  • Multi-site maintenance coordination
  • Defined priority response arrangements
  • Enhanced asset and configuration records
  • Lifecycle and risk review
  • Management summary reporting
  • Agreed emergency support procedures
Request Tailored Proposal

Replacement equipment, major repairs and project work are not automatically included. Each proposal clearly defines inclusions, exclusions, response arrangements and billing terms.

Clear management information

Turn Technical Findings Into Practical Decisions

A well-structured maintenance report helps management understand what is working, which issues need urgent attention and what should be budgeted for next.

Frequently asked questions

Questions About Taking Over and Maintaining Existing Systems

Yes. Zapture can assess an existing installation, document its condition and recommend what is required before assuming ongoing maintenance responsibility.

Existing faults are recorded during the baseline assessment. Corrective work may be quoted separately before or alongside the maintenance programme, depending on the risk and agreed scope.

Replacement parts are not automatically included unless they are specifically listed in the accepted maintenance proposal. Required parts are normally quoted for approval.

Frequency depends on equipment quantity, site conditions, system age, operational risk and how heavily the infrastructure is used. Zapture recommends a frequency after the assessment.

Yes. Multi-site plans can include a consolidated calendar, individual site reports, a central asset register and agreed priorities for different locations.

The applicable response and after-hours arrangements are defined in the selected service level. Attendance and replacement equipment may be separately chargeable unless expressly included.
